Text messages from Rostrum

Rostrum sends text messages for one purpose: to tell the audiovisual technicians working a conference that a room needs them. This page describes the program — who receives the messages, how they agreed to it, what the messages say, what they cost, and how to stop them.

Program name

Rostrum On-site alerts, sent from the toll-free number +1 (855) 546-5405 on behalf of the organization running the event.

Who receives the messages

Only the technicians an event organizer adds to that event’s crew roster in the Rostrum portal — typically two to ten people per event, each added by name by someone who works with them. There is no public sign-up, no list is bought or shared, and a number on one event’s roster is never texted about another event. Messages are sent only in the United States and Canada.

How consent is collected

The organizer enters the technician’s name and mobile number in the portal’s Add tech form. The number cannot be saved until the organizer confirms, on the technician’s behalf, that the technician agreed to receive the messages. The form looks like this:

The organizer is responsible for the technician’s agreement, under our terms of service. When the number is saved, the technician receives one confirmation text naming the program and how to opt out.

What the messages say

Every message is about a specific room at a specific event. Three kinds are sent:

Messages contain no marketing, no links to third-party sites and no personal data about anyone but the room and the reason.

How often

Only on event days, and only when a room needs someone. A busy event might send a few dozen messages in a day across its whole crew; most send far fewer. The organizer sees every message that went out, and each event has a cap on how many it may send.

Cost

Rostrum does not charge the technician anything. Message and data rates from the technician’s carrier may apply.

Replies, STOP and HELP

The number does not read replies: when a technician is needed, the message says so, and the technician goes. Two replies are handled automatically by our messaging provider:

The organizer can also remove a number from the roster at any time, and every number is deleted automatically seven days after the event ends.

Privacy

Mobile numbers are stored only for the event they were added to, are never sold or shared for marketing, and are cleared seven days after the event’s last day. The privacy policy has the detail, including the message provider (Twilio) we use to send the texts.
