For A/V and production companies

Every presentation, from the speaker's upload to the screen in the room, run by one platform your team and your client share.

Rostrum is software only. Offer it to your clients as part of your service, and run show day with your own crew: speaker content, the program, Speaker Ready and the rooms.

What you can offer

More of the event, without more vendors in the room

Your clients get one platform for what their conference presents. You stay the company that makes the room work.

Speaker content

Uploads on deadline, reminders that chase the late ones, personal links instead of passwords, every version kept, and an optional review before anything is shown.

The program

A call for abstracts with blind review, or a program built by hand or imported from a spreadsheet. Sessions, rooms and times in the venue's own timezone.

Signage

Room signs, session boards and wayfinding driven by the program, so a session that moves on the agenda moves on the wall.

The attendee app

The live program on delegates' phones at the event's own address. No app store, and a room change reaches them right away.

On show day

The toolkit your crew runs

A small Windows agent turns each station into part of one system your crew can see and steer, from the portal or a phone.

  • Speaker ReadySpeakers check in, review and fix their slides, and save changes back; the room gets the version they approved.
  • Reception deskLooks a speaker up, sees which stations are free and sends them to one.
  • Room computersFiles delivered ahead and kept on the machine. Launch a talk, show the holding screen, rehearse or stop, from the room, the portal or a phone.
  • Readiness checksEvery computer reports green, yellow or red before the doors open.
  • Crew coverage and Call techTechs are assigned to rooms, zones and Speaker Ready groups. Call tech texts the people covering that station, and each tech has a phone page for their rooms.
  • Event hubAn optional extra layer of protection on the venue network: every released file cached, so rooms pull locally first.

Mix and match for each event. Run the room computers on their own, add Speaker Ready, add the reception desk, or use all four. The event hub is an extra layer of protection, there if you want it.

Independence

We sell software only, so we never compete with you.

Rostrum sells no A/V, staffing, equipment or registration. We never bid against you for the room, the crew or the gear, and nothing we quote sits beside a service you already provide.

Partner terms

An annual partner fee, plus a per-event price by size

We share the amounts in conversation, sized to the events you run.

The annual fee covers

  • Accounts for your staff
  • Onboarding and training for your crews
  • Priority support
  • Credit toward your events

Each event, priced by size

Event size follows the same bands as our published pricing. Without a call for abstracts, it simply counts the event's presentations, posters and papers.

Our preferred-vendor list

Partners can join the list of preferred A/V and production companies we share with organizers who ask us for a recommendation.

Your team works inside each client's events with the roles it needs.

How it works

From the first conversation to show day

  1. Talk to us about partner terms

Tell us about the events you run: how many, how big, and what your clients use today.

  2. We set up your team

Accounts for your staff, and onboarding and training for the crews who will run show day.

  3. Your clients' events run on Rostrum

Each event is priced by its size, and your team works inside it alongside the client's.

  4. Your crew runs the rooms

Speaker Ready, reception and the room computers, mixed and matched for each event.
